Enable Showpad features using Admin Settings

By leveraging Showpad's features, you can streamline workflows, align sales and marketing teams, and create a more effective sales enablement strategy. As an administrator, you can enable or disable Showpad features. The options you see here depend on your Showpad package.

1. Click the gear icon to open Admin Settings.
2. Select Features from the left side menu.
3. Choose a feature to enable or disable and configure the options.

Personal Uploads

When you enable personal uploads, users can upload their files to My Files, Collections, Shared Spaces, and record Showpad Videos. The total available storage for which users can upload personal content is determined by package:

• 10Gb for Essential customers
• Unlimited for Plus customers
• Unlimited for Ultimate customers

1. To enable personal uploads for all users, toggle on the Personal Uploads feature. By default, this is enabled for all users.
2. Expand the section to view options.
   • On the User Access tab, select if you wish to enable the feature for:
     • All Users: This will enable the feature for all users.
     • Selected Groups: This will enable the feature for specific user groups. Check the user groups for which you want Personal Uploads enabled. Quickly find user groups by typing in the search field.
   • On the Advanced Options tab, select permissions for user’s uploaded files:
     • Limit external downloads to PDF format: Ensure external recipients can only download user's personal files that can be converted to PDF as PDFs.
     • Allow file import from Google Drive: Files stored on Google Drive can be uploaded to Showpad.
3. Click Apply when ready.
4. You will receive a warning message to ensure you're aware that any group you disable Personal Uploads for will lose any content they've already uploaded, including video recordings. URL assets and personalized versions of marketing assets are still available.
   Their uploaded content will be deleted from Collections and Shares, and they will no longer have access to the Microsoft Office integration. Any content they shared with prospects will no longer be accessible. Check the boxes signifying you understand the impact, then click Disable.
   

   Note: Note: Disabling Personal Uploads after it was enabled significantly impacts your users' personal content.

5. To allow users to edit Microsoft Office documents and/or Google Slides and store them in My Files, you must enable the Microsoft Office/Google Slides personalization option within their respective integrations. Learn more about managing Microsoft Office and Google Slides integrations.
6. Once you’ve enabled personal uploads, you can allow users to save personalized versions of files to their My Files. To do this, enable the permission Can be annotated on the files you distribute.
7. If the personal uploads feature is not enabled, you will not see the Can be annotated permission option in the files details panel.

Tip: To simplify your process, we suggest creating a new user group and adding all users for whom you'd like to enable Personal Uploads. If a user is in multiple groups, some but not all of which have Personal Uploads enabled, they will have access to upload.

Showpad Video

When the Showpad Video feature is enabled, users can record and upload their own personal videos to My Files, Collections, and Shared Spaces. Using this feature toggle, you can enable or disable Showpad Video for your entire organization or select certain groups you'd like to grant access to.

Note: For Showpad Video to be available to users, they must also have Personal Uploads enabled.

1. To enable Showpad Video for all users, toggle the feature on. By default, it is enabled for all users.
2. Expand the section to view User Access options:
   • All Users: This will enable the feature for all users.
   • Selected Groups: This will enable the feature for specific user groups. Check the user groups for which you want Showpad Video enabled. Quickly find user groups by typing in the search field.
3. Click Apply when ready.
4. Access to Showpad Video will be disabled for all unchecked groups.

External Uploads in Shared Spaces

This feature allows users to enable external uploads in Shared Spaces. Seller’s prospects and customers buyers can upload files directly to those Shared Spaces. You can select which user groups can allow uploads or enable it for all users.

Note: The Personal Uploads feature must be enabled for the user groups using the External Uploads feature.

1. To enable External Uploads for all users, toggle the feature on. By default, this is enabled for all users.
2. Expand the section to view User Access options:
   • All Users: This will enable the feature for all users.
   • Selected Groups: This will enable the feature for specific user groups. Check the user groups for which you want External Uploads enabled. Quickly find user groups by typing in the search field.
3. Click Apply when ready.
4. Access to External Uploads will be disabled for all unchecked groups.

Asset Commenting

Enabling Asset Commenting allows users to post comments on files that other users can see. As an admin, you have the option to respond to comments or remove them if necessary. You can enable and disable Asset Commenting for the entire organization or certain groups.

1. To enable Asset Commenting for all users, toggle the feature on. By default, this is enabled for all users.
2. Expand the section to view User Access options:
   • All Users: This will enable the feature for all users.
   • Selected Groups: This will enable the feature for specific user groups. Check the user groups for which you want Asset Commenting enabled. Quickly find user groups by typing in the search field.
3. Click Apply when ready.
4. Access to Asset Commenting will be disabled for all unchecked groups.

Custom Exam Certificate Background

Reward your users with a branded certificate for their completed efforts in Showpad Coach. This is available for Showpad Coach Plus or Ultimate packages.

1. To enable Custom Exam Certificate Background for all users, toggle the feature on.
2. Expand the Custom Exam Certificate Background section to view options.
3. If your image file is ready, click Choose File to upload it. Otherwise, you can click template example here to download the template in this panel.
4. After uploading the certificate background, click Apply. Your updated certificate background image will appear on all Course certificates across Showpad Coach.
5. Repeat and refresh as needed. The latest backgrounds will update automatically in past certificates.

Search Tag Filtering

By default, the option to show unused tags in search results is disabled. To enable it, toggle the option on. When disabled, unused tags will not appear in Web App search results.

Optimize Google Drive Rendering

When enabled, MS Office files will be downloaded from Google Drive as the original asset, and a PDF will be downloaded as a converted file to render in Showpad. This option is good if you've noticed rendering issues in Showpad with Google Drive files.

1. To enable Optimize Google Drive Rendering, toggle the feature on.
2. Expand the section to select whether Google Drive PDFs will be used to render Documents, Sheets, and Slides.
3. Check the applicable boxes and click Apply.

By default, the option to show optimized Google Drive PDF rendering is not applied.

If disabled, MS Office files will be downloaded as the original asset, and Showpad will convert the original file to a PDF to render.

Salesforce Activity Logging

If you have installed Showpad's Salesforce integration, you can control which user groups have access. When enabled, selected users can log activities in Salesforce and access sharing insights and content recommendations with the Showpad Insights app in Salesforce.

1. To enable Salesforce Activity Logging for all users, toggle the feature on. By default, this is enabled for all users.
2. Expand the section to view user access options:
   • All Users: This will enable the feature for all users.
   • Selected Groups: This will enable the feature for specific user groups. Check the user groups for which you want Salesforce Activity Logging enabled. Quickly find user groups by typing in the search field.
3. Click Apply when ready.
4. The ability to log activities in Salesforce will be disabled for all unchecked groups.
