Assign users, publish, and share a Course Updated June 12, 2025 18:16 Enrolling learners in your training Courses and publishing them brings learning directly to your sales teams, remotely and interactively. Showpad Coach makes it easy to ensure the right users and groups are assigned to the right Courses with minimal manual effort. You can assign Courses to groups or individual users, providing flexibility to fit your organization’s needs. Note: When a Course is added to a Path, any users assigned to the Course will be overridden by the Path's assignments. This means that only the groups and users assigned at the Path level will be considered. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. In the left side menu, click Courses, then select All Courses. Click on a Course in the Courses library. In the Course details panel, click Edit Course to open the Course Builder. To assign users and/or user groups to the Course, click the Assign tab. Click the Assign groups button to assign user groups to the Course. Start typing a group name in the text field, then click to select it from the drop-down menu. To assign all user groups with the same term in their name, type the term and click the number of groups. To remove a group from the list, click the X next to the group name. When you're done, click Assign selected groups. If a user is in more than one group assigned to the Course, their Course status will be derived from the first of their groups listed. For example, if a user is in the Sales EMEA group with the Course status Required and Sales US with the Course status Elective, the user will be enrolled as Required, as Sales EMEA is first on the list. To arrange the group order, click and drag the hold icon at the beginning of a group row. To assign users at the individual level, click Users and then click Assign users. Start typing a user name in the text field, then click to select it from the drop-down menu. To remove a user from the list, click the X next to the user name. When you're done, click Assign selected users. When a user is assigned to a Course through their user group, you can change their Priority. Switching them from their group to Individual priority means they will remain in the Course even if their corresponding group is later unassigned. To remove a user from a Course, check the box next to the user's name, then select Unassign. Their status will then appear as Unassigned. However, they will still show in the User tab as part of a group assigned to the Course. If a user is already assigned to a Course, unassigning will remove the Course from the user's view. The user is not notified that the Course has been unassigned and is removed from the reporting. However, if the Course is reassigned to the same user, any progress made is retained. Back to Top Set the status and due date On the Assign tab in the Course Builder, use the drop-down menu in the Status column to select the Course status for each group. Required: Learners in this group must complete the Course. This is the default status. Elective: The Course is provided as a suggestion. Learners can opt out. Hidden: The Course will not show up for the learners until you change the status to something else. To add an optional due date, click None within the Due Date column. Select a Fixed or Rolling due date. Fixed: The Course is due on the selected day. Rolling: The Course is due the selected number of days after being assigned. Click Save. To change the Status or due date in bulk, select the groups you wish to edit then click Edit. Update the selected groups' Status and/or Due Date, then click Save. Note: Due dates are midnight UTC. Back to Top Publish and send invitations Once you have assigned users and groups to the Course, click the Review & Publish tab to make it available to them. On the Review & Publish tab, review the Course summary. Select your Publishing Options at the bottom of the page. Publish on a future date: Check the box, add the date you want the Course to automatically publish, and click Save. If you want to publish the Course immediately, leave the box unchecked and click Publish Course. Send Course invitation upon publish: Select this option to send users an email invitation when publishing the Course. When you click Publish Course, a drafted email will pop up that you can personalize. Once ready, click Publish and send. An email will be sent only to the users for which the Course is required. Notify users and groups added to this course after publish: Check the box to notify new users assigned the published Course. Individual users and groups assigned, and users added to already assigned groups will all receive a notification email of their assignment. Once you've configured the publish settings, click Save or Publish Course, depending on which publishing option you choose. If you choose to send a Course invitation email, the message will pop up after clicking Save or Publish Course. Make any necessary edits, then click Publish and send. Back to Top Share the Course using a link Once your Course is created or updated, you can copy the link and share the URL with users. This allows you to share the Course with your preferred messaging tools. This link can also be used to create a URL Asset in your Files library. This way, you can create a link to the Course in your Experiences and Pages. On the Review & Publish tab in the Course Builder, click Copy link to save it to your clipboard. Alternatively, Select the Course in the Courses library to open the Course details panel. In the Overview section, click the copy icon next to Link to Course to save it to your clipboard.
