Depending on how your administrator configured privacy settings in line with local legislation and company policies, your prospects might need to give consent before viewing the content you share. In this article, we explain what you see on our different platforms and what your prospects experience when opening the shared content.In short, a privacy policy is a legal text that discloses the ways a company gathers, processes, uses, discloses, and manages personal data. Before such actions can take place, you and your prospects will have to actively give consent to that privacy policy. Depending on the chosen consent settings by your administrator, consent may or may not be a requirement for prospects in order to view the content you shared. Where a prospect does not give consent, no tracking shall occur during the prospect's interaction with the shared content.In addition to requesting permission to analyze the recipient's interaction with the shared content and to use a cookie in that process, the privacy notice makes it clear that the tracking cookie is valid for a set number of days, after which consent will be requested again. The privacy notice details the activities the cookie tracks and why, and informs the recipient of the option to view the content anonymously. This aligns with a ruling from the European Court of Justice.Our legal team has ensured that the use of Showpad is also in compliance with the California Consumer Privacy Act (CCPA).Note: As a user who signs in to Showpad, you must always give consent. This applies to the Web App, our mobile apps, email plugins, and all integrations.If consent was given on one platform, you won’t be asked again when signing in on another. However, if the privacy policy changes, you will be asked to give consent again. This also applies to prospects who reopen your shared content.See how it looks The consent window that you, as a user, will see when you sign in to Showpad. Tapping Privacy Policy will display the privacy policy your administrator has set up for your organization. Tap Accept to continue to the Home Screen or Log Out if you don't want to continue. You won't sign in to the app when using this option. Giving consent when signing in on Android After signing in on the Android app with your organization name, email address, and password, you see the consent window. Tapping Privacy Policy will display the privacy policy your administrator has set up for your organization. Tap Continue to go to the Home Screen, or tap Log Out if you don't want to continue. You won't sign in to the app when using this option. Giving consent when signing in to the Web App After signing in to the Web App with your organization name, email address, and password, you see the consent window. Check the Privacy Policy checkbox or click Privacy Policy to see the privacy policy your administrator has set up for your organization. Click Continue to go to the Home Screen. Giving consent when signing in to our email plugins After signing in to the Outlook add-in or Gmail plugin with your organization name, email address, and password, you see the consent window. Clicking Privacy Policy will display the privacy policy your administrator has set up for your organization. Click Accept to continue to the Home Screen or Log Out if you don't want to continue. You won't sign in to the app when using this option. Consent window on Showpad for Outlook: Consent window on Showpad for Gmail: Understand how prospects give consent Prospects might be referred to your organization's privacy policy when you share content with them. It depends on your location, your company policies, and how your administrator configured it. Prospects might see: A privacy disclaimer at the bottom of the Share email they receive. A privacy disclaimer in the Shared Content Viewer. That's the page where prospects see your shared content. This disclaimer is visible in a blue bar at the top. A mandatory consent window that requires prospects to accept the privacy policy, or they won't be able to view the content. Note: This mandatory consent window is always visible when a prospect opens and registers on a Shared Space for the first time. An optional consent window that lets prospects view the dialog box and shared content without accepting the privacy policy. No consent window. In this case, your prospect won't see a consent dialog box. Consent will thus occur implicitly. Note: Consent is not permanent. After a period set by your administrator (14 days or longer), the prospect will be prompted to reconfirm their consent. Consent will also be requested again if your organization’s privacy policy changes. Understand that prospect data in the Share tab might be anonymous After a period of inactivity, personal data in Emails & Links will be anonymized and will no longer be linked to a prospect. If the prospect interacts with the shared content again, the counter resets. Contact your administrator to see how it was configured for your organization. Understand that prospect data in the Share tab might not be available If your prospects see the optional consent window configured by your administrator, they might not consent when opening your Share. In this case, they will see your content, but you won't be able to track their activities. In the Share tab, you will see no activity if it's set up this way.
