Bulk import and update users with a CSV file Updated September 29, 2026 22:06 Create multiple users or update existing ones by uploading a CSV file into Showpad. Most user management systems, including HR platforms like Workday, let you export user data as a CSV file, so you can import that data into Showpad without adding users one by one. After uploading new users or user updates, you'll receive an email confirmation listing the users who were successfully imported or updated and those who weren't. Note: We support CSV files in UTF-8 encoding. Both use the same CSV template and the same import screen, so review the Column Reference table before you start either workflow. Create users In the Admin App, click Users in the top menu. Click Add, then select Import CSV file. If you'd like to use the Showpad template, click the link at the bottom of this article to download the example file that matches your Showpad plan (legacy or eOS). This will help you understand how to format your file correctly. Click Continue to go to the import screen. Note: The header row must include all the column names. When using commas in a field, add quotes so the system detects it as one field. See the Column Reference table for a breakdown of the columns in the CSV. Note: The CSV file should not contain more than 1000 rows of data (users). Once ready, drag and drop your formatted CSV file or click Browse to find and upload it. Click Import. A prompt will notify you that the file has been queued for processing. You can use the shortcut buttons to Upload New CSV or Go to Users Tab. Once the file has been processed, you'll receive an email with a user import summary, including any successful or failed imports. Follow the instructions in the email to resolve any issues. Back to Top Update users Use this workflow to bulk-edit existing users, for example when your HR system is the source of truth for roles or group assignments. Start by exporting the current list in Showpad to avoid overwriting user details you don’t want to change. In the Admin App, click Users in the top menu. You can narrow the export by using the filters at the top of the user list. Click the three dot menu at the bottom of the user list and select Export CSV. Download the import CSV template for your plan from the bottom of this article. Adjust the exported CSV so its columns match the import template: Remove the columns: created at last login at last content update onboarding status promoted in divisions managed groups Add the columns: action password reset password at first login For current pricing plans, ensure this column is included:license type For legacy pricing plans, ensure these columns are included: content license type coach license type Update user details per row. If the new data is coming from a third source, match each row to the corresponding user by email address or external ID, then bring over the updated values (role, groups, direct manager email, and so on) into your adjusted CSV. Note:The update action overwrites fields. Any value you enter in a column replaces the existing value for that user, so the CSV needs to carry each user's full, current data, not just the fields that changed. Example: The groups column replaces a user's entire group list. It doesn't add to it. Include every group the user should belong to, both existing and new, or the update will remove them from any group left out. Columns left blank will also overwrite existing values. The password columns are an exception: leaving them blank won't clear a password or force a reset. Columns removed entirely from the exported CSV won't affect existing data. In the action column, enter update for every row you want to update. When ready, upload the file: in the Users library, click Add, then select Import CSV file. Once the file has been processed, you'll receive an email with an update summary, including any successful or failed rows. Follow the instructions in the email to resolve any issues. It's set to create by default, but you can change it to update or delete, depending on the desired outcome. any first name The user's first name. Note: This field has a maximum of 32 characters. Note: This field is required. any last name The user's last name. Note: This field has a maximum of 32 characters. Note: This field is required. any email The user's email address. Note: You can't update a user's email address via bulk upload. Note: This field is required. any password The user's password. If not specified, new users will receive an invitation email prompting them to enter a new password and sign in. If the Hold Invitation Emails setting is on, this field won't be saved, and an invitation won't be sent. Note: When updating users via CSV, the password field is ignored. any external id An external reference number you might use at your company (e.g., dept. ID). any role Supports the User and Manager roles. Administrator roles must be created manually. If left blank, a User role will be assigned. any groups Specifies all of the groups a user should be assigned to, separated by commas. Note: When using the update action, include all the existing and new groups you want to assign. This field replaces the user's group list; it doesn't append to it. If you only add new groups or leave this field blank, the user will be removed from their current groups. any activated Specifies whether the user is active. Type 0 for non-active users and 1 for active ones. If left blank, the user will be activated. any reset password at first login Specifies whether the user must reset their password on first login. Choose 0 to not reset or 1 to reset. If left blank, no password reset will be required. any phone The user's phone number. any company The company a user is affiliated with. any position The user's job title or position at their company. any direct manager email The email address of the user's direct manager. The direct manager must already exist in Showpad. any language The user's language. It's automatically set to en, but it can be replaced with: en, de, fr, es, nl, it, ja, zh_cn. any timezone The user's timezone in Country/City format. If the city part contains multiple words, split it with underscores (e.g., America/New_York). It's automatically set to the company timezone. any countries A list of countries where the user operates, following the ISO 3166-1 Alpha-2 standard. any license type The license type assigned to a user. Depending on your organization's license types, it can be direct, partner, or view-only. Automatically set to direct. Note: This field is required when updating a user and should be in lowercase (e.g., direct). eOS Expert, eOS Advanced, eOS Professional content license type The type of Content license assigned to a user. Can be direct or partner. Automatically set to direct if the default content license option is enabled. If omitted, the content license will be removed during an update. Note: Users must have at least one license type (content or coach). Legacy Showpad Content Essential or higher, Legacy Showpad Coach Essential or higher coach license type The type of Coach license assigned to a user. Can be direct or partner. Automatically set to direct if the default coach license option is enabled. If omitted, the coach license will be removed during an update.
