Add or update an External ID

Managing a large library of files can be challenging, especially when multiple naming conventions are needed. The External ID provides a secondary naming option for content within the files library, making it easier to organize and update your files.
For synced files, such as those integrated from cloud storage or other platforms, the External ID is uneditable, as it plays a critical role in keeping the content updated. However, for admin-uploaded or imported files, you can customize the External ID to suit your organizational needs.

Tip: When editing External IDs, choose unique identifiers to ensure seamless updates and avoid conflicts.

The quick way

1. Access the Files library
2. Select a file
3. Go to the details panel
4. Edit the External ID

Do this step by step

1. Click the Libraries tab.
2. If applicable, select the relevant Division from the top left menu.
3. Select All Files from the left side menu to open the Files library.
4. Click on a file to open its details panel.
5. In the Overview section, click External ID.
6. Enter or edit the External ID in the text field.
7. Click Save changes.

Note: If the External ID is not editable, the file has been synced to Showpad via cloud storage or another content integration. Since synced files use the External ID for updates, they cannot be modified.
