Add a description to a file

Note: This article is about the new beta Admin App, which is still in development. Changes may occur. Please provide feedback directly in the beta app.

Give your sellers more information about a file by adding a description. This private information is not visible when users share the file with prospects or customers. However, users can find it on their Home Screen recommendations and the asset details pane when viewing files.

You need this to succeed

• The beta Admin App enabled
• Feature availability depends on your subscription package
• The Showpad Content Ultimate package to receive filename suggestions
• An asset in the Files library

The quick way

• Open the Libraries tab
• Click All files in the Content section of the left menu
• Select a file from the Files library
• Edit the Description in the Overview section
• Alternatively, click Suggestion available and Apply the suggested description

Do this step by step

1. Navigate to the Libraries tab.
2. If your organization uses multiple Libraries/Divisions, select the desired Library/Division from the top-left dropdown menu.
3. Click All files in the Content section of the left menu.
4. Select a file from the Files library.
5. From here, you have two options:
   • Manual edit:
     1. In the asset details pane, click the edit icon on the Overview section.
     2. Fill in a Description of the asset and click Save changes.
   • AI suggested description:
     1. If the AI suggested descriptions feature is enabled in Admin Settings, AI suggestions may be available for files uploaded after the feature is enabled. If so, click Suggestions available.
     2. Review the suggested description. An AI-generated filename may also be offered. Showpad’s AI uses the file's content to provide suggestions.
     3. Click Apply next to a suggestion to update the asset details. Or click Accept All to apply all suggestions. The description and other suggestions are automatically updated.
     4. To avoid using the suggestion, click outside the pop-up window to close it.AI suggested description: 
6. Your users will see the description you provided in the asset details pane when viewing content. Users can click the arrow to open or close the details pane in the Asset Viewer.
7. Users will also see the description in their Home Screen recommendations and search results.
