Use SFTP Provisioning to add and remove users and groups Updated March 11, 2025 16:04 SFTP (Secure File Transfer Protocol) Provisioning allows you to create and remove users and groups as part of a daily sync between your SFTP server and Showpad. This provisioning option is particularly useful for organizations with a high volume of users, as it reduces the manual work of adding or removing users and groups. This sync runs twice a day. To ensure user record accuracy, you cannot edit your groups and users within Showpad when SFTP syncing is enabled. Note: If your organization has a Salesforce integration with nightly syncs, the SFTP option is disabled. See how it looks Key features Ensure user record accuracy Easily add and remove users and groups from Showpad You need this to succeed Plan: eOS Expert, eOS Advanced, eOS Professional Previous plan: Showpad Content Ultimate Permissions: Administrator Config: Host, path, username, and password for your SFTP server Prerequisites: Properly formatted CSV file for the user system of record The quick way Enable SFTP in the Sign On Settings Connect to your SFTP server Create a permanent user if needed Do this step by step Log in to the Admin App and click the gear icon to open Settings. Select Sign On from the left side menu. Scroll to SFTP and toggle the switch to enable SFTP provisioning. Click the caret next to SFTP to reveal the Current Configuration options. If you haven't created the user record yet, you can click to download the template. Ensure your file is properly formatted. Enter the following information: Host: Enter the address of the SFTP server Port: Specify the Port to use Path: Enter the path on the SFTP server to your SFTP file User: Enter the SFTP user Password: Enter the password for the SFTP server When you're ready, click Sync Now. A message will let you know that the connection is successful and the file has been added to the queue for import. Create a permanent user If you have a user you don't want to be affected by the SFTP sync, for instance, if they are changing their name, you can make them a permanent user. This will allow them to keep their Showpad account as is but forfeit their right to be in any SFTP synced groups. When a user leaves the company, they will also be removed from Showpad through the SFTP sync once their record is removed from the system of record. However, if you make them a Permanent user, you can keep their data in Showpad. Navigate to Users. In the User Library, any users involved in the SFTP sync will have a sync icon to the left of their name. Click any synced user to open their details panel. Click Make Permanent User. Their user record will now be maintained in Showpad instead of the external system of record. This action cannot be undone.
