Manage processing files in Showpad Updated June 13, 2025 15:07 Showpad processes the files you upload to ensure your content is accessible on any device. This preparation allows your content to be viewed seamlessly in Showpad’s Web App, Windows Desktop App, and mobile apps. Documents: We optimize your documents to ensure they load quickly. This process reduces the file size while maintaining readability, so your content takes up less space on devices and loads faster, whether in the browser or on a mobile app. Videos: Videos are streamed through the Web App when a connection is available. Video quality adjusts based on the user's internet connection: a fast connection streams high quality, while a slower connection streams lower quality to ensure smooth playback. Note: Video streaming is available on the Web App, while the mobile app allows users to download videos for offline viewing. Experiences: We process your Showpad Experiences to make them available across the Web App and mobile apps, ensuring your users can have interactive sales conversations with their customers and prospects. Note: Modifying tags in the Experience Builder automatically triggers file reprocessing. Click Files, then select Processing Files from the left menu. Sort files by Queued At or Status. Use the three dot menu to Cancel processing files, or Delete or Add to the library failed files. Do this step by step Review and manage processing files When you add content to the Files library, it's processed. This ensures it will display correctly on all devices. To view the status of processing files, navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top left dropdown menu. In the left menu, expand the Files section and click Processing Files. The number next to Processing Files shows how many files are being processed or have failed. The list of processing files is organized by Name, Queued At time and date, and Status. You can sort the list by Queued At time and date, and Status. To stop processing a file, click the three dot menu next to it and select Cancel. If you’d like to remove failed files, you can delete them: To permanently delete a single file, click the three dot menu to the right of the file and select Delete. To permanently delete multiple files, select them or check the box at the top to select all files on the page. Click Delete and confirm on the pop-up. Some files, such as large PowerPoint presentations, may fail to process but can still be added to the library. In these cases, the files won't be available for preview in Showpad but will still appear in search results and can be shared or downloaded. If you want to include these files despite the failed status, you can manually add them to the library: To add a single file, click the three dot menu to the right of the file and select Add to library anyway. To add multiple files, select them or check the box at the top to select all files on the page. Then click Add to library and confirm on the pop-up. Note: Not all selected files may be supported for addition to the library. File processing statuses When files are processed correctly, they appear in the Files library, optimized for Showpad. You can filter the Files library by Status to view a list of files in each status: Status Description Active The file was successfully processed. Processing The file is processing. Processing Failed The file failed to process. This could be due to file issues such as a password-protected PDF or an unsupported video format. Review best practices and try uploading again. File upload guidelines After uploading your files, you may notice slight changes in their appearance or find that some links no longer work as expected. To minimize these issues and ensure smooth processing, follow our guidelines for each file type: Videos: Guidelines for uploading videos PDFs: Guidelines for uploading PDF files HTML5 Apps: Guidelines for web apps and HTML content Office documents: Guidelines for uploading Office documents Tip: To ensure your content displays correctly across all devices, use supported formats and optimize file sizes before uploading. After uploading your files, review them to ensure everything looks correct and all links function properly. Pay special attention to formatting, embedded media, and any interactive elements. Troubleshoot common issues If something doesn't appear as expected, check that your files meet Showpad’s file formats and specifications requirements. Reupload the content after making any necessary adjustments. Two common issues that can occur: PDFs: Issues may arise due to file flattening or password protection. If you don’t see a thumbnail image or can’t annotate a PDF, it may indicate that the processing failed. Upload the file again to retry. Videos: Ensure the video format is supported.
