Sharing content with Showpad Updated September 21, 2023 09:56 One of the foundations of Showpad is the ability to share content with customers and prospects. Showpad provides a variety of sharing possibilities. You can share multiple files and pages while browsing your Experiences or by using the Share tab. Use the content picker to browse and select your content. It's also possible to search for the content you like to share with your customers when creating your share. Shares will remain active as long as the owner has an active Showpad account or until they revoke access from the Share settings. As admins can change asset permissions, the status of an asset can change between sharable and unsharable. A shared asset that becomes unshareable will disappear from a Share or will be blurred on a Shared Space. The same behavior will happen if an asset expires or is deleted by an admin. However, you can still search for content that is available in those Experiences. Fill in the recipient's email address. If your organization has the Salesforce integration enabled, you can select to see the activity on this Share in your Salesforce dashboard. Tap the settings icon at the bottom of your message to make any changes to the setup of your share. Slide the Allow Downloads toggle if you want to allow any recipients to download the content you are sharing with them. Allowing downloads is on by default. When toggling it off, it will be remembered for the next time you create a share. Toggle Send A Copy To Myself on if you wish to receive a copy of the share. It will be sent to your email address. Interactions with the email sent to yourself will not be tracked. Select the desired theme you would like to use to share your content. Your recipients will see the share in this selected environment. Click the CRM button at the bottom of the share and slide the toggle to opt to log this activity to your Salesforce, SAP C4C, or Microsoft Dynamics account. Back in your message, tap the + icon to add assets to your share. You can browse your Experiences to find the content you are looking for. Tap Add to insert a link to the content into your share. The most recently added assets are shown first. Additionally, you can search for content you'd like to add. Our search engine looks for search terms in document titles and in the text of the documents. Tapping the result will add the content to your Share. Give the email a subject and add a message to your customer or prospect. Tap Send to send the email. Note: Some file types may have a restriction placed on them by your admin to make them available for download only as a PDF. Create a Share from within an active Experience In your Experience, tap the 3 dots in the corner and then tap Select Files. Select the files you'd like to share with your customer and tap the Share button. Tap whether you'd like to compose an email share or get a link to your content. See how it's done on Android Open the Share tab from the bottom menu on the Home screen. Tap the compose button. Add a recipient email address in the To field. Choose whether or not the prospect can download your content by using the toggle to the right of Allow Downloads. You will not be able to override your admin's content settings, so if they have disabled downloads on certain pieces of content, changing this toggle will not override that. Allowing downloads is on by default. When toggling it off, it will be remembered for the next time you create a share. Update the sharing Theme if desired. Add assets by searching Content, or click the plus icon to browse your Experiences. Tap the assets to select them. Tap the View icon to preview any asset before selecting it. Tap Insert Items when you're ready. Each asset will be added as a link to the body of your email. If the content has multiple pages, you can tap Select Pages and choose specific pages within the file to send. Once you have selected your desired pages, tap Add. If enabled, choose to log your share to your CRM such as Salesforce in this example: Give the email a subject and add a message for your customer or prospect. Tap Send to send the email. Note: Some file types may have a restriction placed on them by your admin to make them available for download only as a PDF. You can also share selected content, without using collections, from within your active Experience. In your Experience, tap the three dots on the top right to open the drop-down menu. Tap the Select button. Select the files you'd like to share with your customer and tap the Share button. Select to share by email or link. Add a recipient email address, enable or disable content downloads, and select the Theme you'd like to use. If enabled, you can log the share to your CRM, such as Salesforce in this example. In the Content field, you can add additional content by searching, or by tapping the + icon, which opens a browser that shows your existing collections and Experiences. Send the email with the selected content. See how it's done on the Windows Desktop app On our Windows Desktop app, you can share your content without creating a Collection. Select one, or multiple files and send them using your selected Shared Theme.If Salesforce integration is enabled, this Share is also visible in the Activity History of your contact or lead. If you are offline, your shares will queue up to be deployed as soon as you have an internet connection again. For email shares, enter your contact's email address. Fill in a subject line and the email body. Add a link or image, change font style and size, or format the email body. Note that the fonts you can choose are compatible with all email clients. Note: If Log to Salesforce is disabled in your account, you can search through your Showpad contacts and find internal users. If Log to Salesforce is enabled, you will only find Salesforce contacts when searching for recipients. Internal users cannot be found while the toggle is on. You can select additional content by clicking Add Content and browsing your Experiences or your Uploads. Enter a subject and a message. Toggle Log to Salesforce on if you would like to log this sharing activity to an account or contact. Then, configure your share settings: To deny downloading of content, uncheck Allow downloads in Sharing Settings. Your recipients see the content of the file, but they can't download a copy of the original file. Allowing downloads is on by default. When toggling it off, it will be remembered for the next time you create a share. To send yourself a copy of the share via email, check the box for Send me a copy. Interactions with the email sent to yourself will not be tracked. Set an expiration date for your shared content to retain control over its availability. Recipients won't have the option to download the original copy of your shared content if you unchecked Allow downloads. They will only see the zoom out, zoom in, and view in full-screen buttons. Note: Some file types may have a restriction placed on them by your admin to make them available for download only as a PDF. It's also possible to send a previous Share by clicking the settings icon within the Share. You can forward a copy to new recipients, view how it looks as a recipient, stop all notifications about this share, and revoke access for the recipients by marking it as expired. The previous message will be automatically copied and you can change it in the editor. You can add additional recipients and assets in this forwarded share. See how it's done on the Web app On our Web App, you can share your content without creating a Collection. Select one, or multiple files and send them using your selected Shared Theme.If Salesforce integration is enabled, this Share is also visible in the Activity History of your contact or lead.
