Add annotations to a document Updated April 01, 2026 08:00 When you’re having a sales conversation, it’s often useful to add annotations to the documents you’re showing your prospect. In Showpad, you can add annotations to a document using a range of markup tools and easily share or add that document to a Collection when you’re done. Adding annotations doesn't change the original document. After sharing the document, your annotations will not be saved unless you keep the document in a Collection. You can see these annotations as an extra layer on top of your document. Your admin may choose to hide annotations on shared content to keep them private. When an admin enables this setting, annotations are hidden from your external recipients and Shared Space participants, but remain visible to you in personal Collections and My Files. Note: You can add annotations to documents, not to images or other multimedia content. Open the document you want to annotate. Tap the pencil icon in the top menu Set the color you would like to use for your annotations. Tap the tools in the menu to add annotations: Text Pen marker Highlighting marker If needed, tap the undo and redo icons. When ready, tap Done. When you’re ready, tap the Add to Collection folder icon. Tap the Collection you want to add the page to. Click the highlighter icon in the top menu. Set the color you would like to use for your annotations. Click one of the following tools in the menu to add annotations: Pen marker Highlighting marker Text If needed, click: Cancel: to close the annotations without saving your changes. Trash icon: to delete your changes without closing the annotations functionality. Undo and Redo: to cancel or redo your last change. Done: to save your changes and close the annotations functionality. To save a copy of your annotated document, you can add it to a Collection. Save the entire document or a single page. You can also directly share your annotated document with buyers. Note: The annotations will not be saved to the original document. This means that the next time you open the same document, the annotations will have disappeared.
