Add, manage, and share personal content in My Files Updated November 06, 2024 10:53 My Files is your all-encompassing tab to upload assets from your sources, find content shared by colleagues, and more. You may find that the marketing-provided content in your Experiences is just not enough to have that great sales conversation. Maybe you need an asset more tailored to your industry-specific customer. Within Showpad, you will find the option to upload your own personal content to a tab that you can manage and access, your My Files. You are in full control and can structure files and folders as you want in this space. With this feature, you have the same Showpad tracking and sharing abilities, but this time for your own personal content. You'll also find a special tab within My Files that houses any content your colleagues have shared with you internally. All your uploaded files are automatically optimized for use in Showpad to ensure an excellent user experience for you and your customers. The shares you create with personal content from this channel are also trackable. Your administrator sees the activities and shares of your content in the reports. The ability to upload personal content is activated by your administrator, so if you don't see the option to upload assets to My Files, you know who to befriend. Here you can create your personal collections and upload your own content you can easily share with customers and prospects. You can find and upload your personal files in the Content screen by selecting My Files. When you share these personal files, you can track all activity in the Share window, just like the other content in your channels. In My Files, you can Drag and drop your content Bulk upload a selection of files Rename folders and assets Switch between list and grid view See content information Record video messages Upload personal content in My Files To open My Files: on an iPad, from the sidebar navigation menu tap My Files. on an iPhone, tap the Content tab, then select My Files. To upload content, select the + icon and choose to Add Folder, Upload File, Add Photo or Video, or Take Photo or Video. Add Photo or Video opens up a screen where you can select the source of your content. You can easily switch between tabs and browse files in different locations. Note: Some cloud storage providers, like OneDrive, might encrypt the content that is stored on their platform. This results in imported content not showing up correctly in My Files. Please consult the protection policy settings of your cloud storage provider. Taking Photo or Video will prompt you to give Showpad camera and microphone access. When your file uploads to Showpad, it will be first processed to ensure a great user experience when presenting and sharing your content. Once processing is finished, you can open the file. To rename an asset, tap the three-dot menu and select Rename. Update the name as desired, then tap Rename. If the asset was shared via link or email, the name will be changed there as well. This does not create a duplicate of an asset.You can only rename assets that you uploaded to your My Files, or assets that were marked as personalizable by your admin. Structure and manage your content in My Files We recommend you to structure your content to make sure you easily find that particular file you need during your sales conversation. You can add multiple folders to organize your personal content. Tap the + icon and select Add Folder. Give your folder a name and tap Create. To move files to folders, tap and hold on the asset. Drag and drop your file or folder onto another folder. This helps you to rearrange the content the way you want. To rename a folder, tap the three dots menu and select Rename. Give your folder a new name and tap Rename. To switch between List and Grid view, tap the View icon. To delete an uploaded file or folder, tap the three dots and select Delete. Note: When deleting a folder, the content in that folder will be removed as well and cannot be recovered. Share your personal My Files content Sharing your personal content works the same way as sharing content available in the channels your marketing team provided. There are three easy ways to share your content with external prospects from the My Files screen. Tap the three dot menu next to the asset name. Select to share via Email or Get a Link that you can easily copy and paste. You can also share internally with colleagues or add the asset to one or more Shared Spaces. Alternatively, tap the Select icon in the top right and choose the items you wish to share. At the bottom of the screen, you can tap the Share icon, select Email or Get a Link, or tap Add to... to add to a Shared Space. If sharing via Email or Get a Link, you can select the share settings by tapping the gear icon. Choose whether or not recipients can download the shared assets. If Allow Downloads is toggled off, your recipients can see the file's content but can't download a copy of the original file. They will only see the zoom out, zoom in, and view in full-screen buttons. To set an expiration date, toggle on Link Expires After and either tap 1 week to select a time frame or tap the date to select a date from the calendar. Select a Theme that the recipient will see when viewing the shared content. If you select to share content by email, add a recipient, subject, and message. To add more content, tap the add button and select Content. Select an email template and Choose whether to log the share to your CRM. If you choose Get a Link, rename the link if you desire. Then tap the share icon. Tap Copy to save the link to your clipboard. Alternatively, select an app you use for sharing, such as WeChat. The insights from a link shared via an app will show that someone opened the link and when but not which app was used. Note: It's not possible to share a folder. Following this same process, you can move one folder into another. To rename a folder, tap the three dots and select Rename. Type in the new name, and select Rename. To switch between list and grid view, tap the three dots at the top right. Select View as List or View as Grid. If you need to delete uploaded content or folders, tap the three dots on the item you’d like to delete, and select Delete. To sort your files differently, tap the three dots menu on the top right, choose Sort, then select which value you’d like to sort by: Name, Date Added, or Filetype. You can also sort the content in ascending or descending order by tapping your chosen sorting type in the right corner. Share your My Files content Sharing your personal content works like sharing content that your marketing team provides. There are two easy ways to share your content from the My Files screen. Tap the three dots menu to the bottom right of the file name and tap Share. Choose to share via Email or Get a Link. If the asset has multiple pages, you can select to share the Entire Document or Select Pages. If you choose Get a Link, rename the link if you desire. Choose if recipients can download the file by toggling Allow Downloads.To set an expiration date for the link, toggle Link Expires After and either tap 1 week to select a time frame or tap the date to select a date from the calendar. While the upload is still processing, you can cancel anytime by clicking Cancel. This will remove the file from your upload pop-up. Once processing is finished, you can click Show to go back to My Files. Add content from Automated Content Builder option - Select the template you want to generate a document for by clicking Create document.Provide the necessary information, then click the Create document button.Once the document has been generated, you can proceed to the next step by clicking the Add document button, or you can generate another document from the selected template by clicking the Create another document button. Tip: You can click on the Templates breadcrumb to return to the list of templates and select another template to generate a document from. Select the generated documents you wish to add by checking the box, then click the Confirm button. Alternatively, you can add a URL to your My Files. Click Add and select Add URL.
