Sharing a Collection Updated September 19, 2023 20:10 One of the biggest strengths of collections is that each collection you create remains available for you to use and modify whenever it’s needed. You can also share any collection at any time and as many times as needed. If you want to share a single file via Showpad and track how your customer or prospect engages with it, you can do so without creating a collection. Collections shared with prospects will remain active as long as the owner has an active Showpad account or until they revoke access from the Share settings. As admins can change asset permissions, the status of an asset can change between sharable and unsharable. A shared asset that becomes unsharable will disappear from a Share or will be blurred on a Shared Space. The same behavior will happen if an asset expires or is deleted by an admin. For Collections shared with colleagues, content availability is determined based on recipient permissions. If the recipient has no permission to see one of the shared assets, it will be blurred from the Collection. This means that if you add files to the collection later, these will not be seen for the people that already have already received the share. Users will need to create a new link to update the collection. Sharing a Collection when viewing it Navigate to the Content tab and open Collections. Tap the three dots menu next to the Collection you want to share. Choose to share by Email or Get a Link. If you choose Email, fill in the required fields. Add recipients' email addresses. If desired, search for more content to include. Write a subject line and a message. To log to your CRM, click the CRM button in the bottom right. To change the settings, click the gear icon in the bottom right. Select if recipients can download assets with the Allow Downloads toggle. Choose if you want to send yourself a copy, and select a Theme. Themes allow you to customize the look of your Collection at the customers' side. Your administrator decides how many themes are available for you. Tap Send once ready. If you chose to share your collection via Get a Link, you can rename the link for your reference. Select CRM to log the activity to your CRM. Tap the gear icon to select if recipients can download the content. Tap Copy Link and paste it into your favorite sharing method. If you choose Email, enter a recipient email address. Select if recipients can download shared assets by using the Allow Downloads toggle. Tap Change Theme to choose a different theme. Select the content then select Insert Items. You can opt to share certain files within the collection as well as specific pages within a multi-page file. To choose specific pages in a file from a collection, tap '+' and navigate to the asset in the collection. Tap the asset then select Edit Pages. Tap the pages you want to include then tap Add. Tap Insert Items to add the pages you've selected to the email. Tap Send. Sharing a Collection after adding a file When you’ve added the file to your collection, a small popup appears at the bottom of the screen. In that pop-up, tap Open. Tap the Share button. Select Email or Get a link.
