Select a suggestion from one of the three categories: Duplicate files Localized variants Undefined languages Consider the files in the suggestion and take action. Do this step by step To consider content management suggestions from LibraryIQ, navigate to the Libraries tab in the Admin App. If your organization uses multiple Divisions, select the desired one from the top-left dropdown menu. Click LibraryIQ in the left side menu to open the LibraryIQ dashboard. Click to expand and view suggestions from one of these three categories: Duplicate files: LibraryIQ finds duplicate files and gives you the tools to confidently decide what to keep, update, or remove. Localized variants: Variants of the same file are identified, making it simple to link localized content. Undefined languages: Assign a language property to files without a defined language to improve organization and accessibility. Duplicate detection Duplicate files can lead to confusion and misinformation for users and admins alike. To ensure only the most relevant content is accessible to your sellers, you must be aware of duplicate files. LibraryIQ compares file contents to identify duplicates. The files are then grouped into cases for you to consider. The number of found cases is displayed next to the suggestion type. Click Duplicate files to reveal a list of cases: Each row represents a case of duplicate files. If there are more than five cases, click Show more to reveal additional cases. A representative thumbnail, filename, and the number of duplicates in the case are displayed. Cases can be sorted by most recent or by number of items. Note: Sorting after revealing additional cases will reset the display to 5 cases. Click View files on a row to review the list of duplicate files in the case. The default columns are Name, Added, Last update, and Size. To reveal additional columns, click the column visibility icon. To analyze seller and buyer engagement, enable columns like Last buyer activity, Buyer interest, Last seller activity, and Seller interest. For a more detailed view of file data, click a file to open its detail panel. Select the Scorecard icon and filter by your selected metrics. See how to compare files with scorecards. To determine where a file is used, click it to open its detail panel. Scroll to the Used in section. Click each location for details. Learn more about file distribution insights. If files in the list are no longer needed in the Files library, you can archive them: To archive multiple files, select them or check the box at the top to select all items on the page. Click Archive. To archive a single file, click it to open its detail panel. Click the Archive icon. Confirm on the pop-up. Archived files are moved to the Archived Files library. Click Dashboard in the breadcrumb navigation to return and explore more insights. Note: When you return to LibraryIQ, the suggestions for Duplicate files will be collapsed. Tip: It may take up to one minute for your recent changes to appear. If the number of cases hasn’t updated, click into a case to view the suggestions, then navigate back to LibraryIQ to refresh the count. Click Duplicate files or a different suggestion type to reveal more suggestions. Back to Top Localized variants You can ensure your global market has only up-to-date localized content by linking all the local variants in your library. Once every 24 hours, LibraryIQ locates similar files with different languages and groups them for you to review. The number of found localized variant cases is displayed next to the suggestion type. Click Localized variants to reveal a list of cases: Each row represents a case of local variant files. If there are more than five cases, click Show more to reveal additional cases. A representative thumbnail and filename, number of suggested variants, and the last updated date and time are displayed for each case. Cases can be sorted by most recent or by number of items. Note: Sorting after revealing additional cases will reset the display to 5 cases. Click View files on a row to review the list of suggested variants in the case. The default columns are Name, Countries, Languages, and Localized status. To reveal additional columns, click the column visibility icon. To preview a file, click it to open its detail panel and then click the thumbnail. Click X in the upper right corner or Esc on your keyboard to exit the preview. If the files can be linked as localized variants to a primary file, select them in the list or check the box at the top to select all items on the page. Click Link variants. Select a primary file from the drop-down list. Verify or set the Locale and, optionally, the Author property on the primary file and click Proceed. Verify or set the Locale and, optionally, the Author properties on each localized variant and click Confirm. The localized variants are now linked to a primary file. The Localized status column and Localization tab in the detail panel will update to reflect that they are linked. Learn more about linking localized files. Click Dashboard in the breadcrumb navigation to return and explore more insights. Note: When navigating back to LibraryIQ, the suggestions for Localized variants will be collapsed. The number of cases will be the same. The now-linked suggestion will remain listed until the next update, which happens once a day. Click Localized variants or a different suggestion type to reveal more suggestions. Back to Top Files with the same language When you set the language property of a file, you can distribute it with smart filters to Experiences, Pages, and Homepages. LibraryIQ scans your files and identifies the languages, then surfaces files that don’t have the language property set. The number of found language cases is displayed next to the suggestion type. Click Undefined languages to reveal a list of cases: Note: You may need to scroll down to view the list of cases. Each row represents a case of files with an undefined language. If there are more than five cases, click Show more to reveal additional cases. A suggested language and the number of files in the case are displayed. Cases can be sorted by most recent or by number of items. Note: Sorting after revealing additional cases will reset the display to 5 cases. Click View files on a row to review the list of files in the case that are missing the suggested language property. The default columns are Name, Countries, Languages, and Localized status. To reveal additional columns, click the column visibility icon. To preview a file, click it to open its detail panel and then click the thumbnail. Click X in the upper right corner or Esc on your keyboard to exit the preview. If the files match the suggested language, select them in the list or check the box at the top to select all items on the page. Click Assign language, then confirm on the pop-up. Note: File suggestions are limited to 500 files. After you take action on a case with 500 files, your library will be reevaluated, and a new case with the same language may be presented. To assign a different language to an individual file, select it to open its detail panel. Choose a language in the Locale section and click Save.
