After creating templates, use the Shared Space Templates library to monitor usage, sort, update, and edit them. Create a Shared Space template Manage Shared Space templates Create a Shared Space template Navigate to the Libraries tab. If your organization uses multiple Divisions, select a Division from the drop-down menu in the top left. From the Templates section of the left side menu, select Shared Spaces. Click New Template. Enter a Name and Description for the template. Select a Sharing Theme, then click Create. Click and type to add a templated title and welcome text, like '[Companyname] Shared Space,' to guide sellers in customizing these fields. If unchanged, placeholder text will prompt sellers to add their own. Populate the template with content. Click Add, choose File or Page, and browse or search for content from your libraries. To organize content into folders, click Add and select Create folder. Give the folder a Name and Description. To add an icon for the folder, click the Change icon button and upload an image file from your device. The icon image should be at most 5MB. Click Create when ready. To organize the template, click and hold the move icon next to an item and move necessary assets into folders or a new order. To choose a different Sharing Theme, click Change theme. Select a new theme from the drop-down menu, then click Save. To assign access to the template, click User access. Search and select the users and groups you want to have access to the template, then click Save. To view how the template will appear to prospects, click Preview. A preview of the Shared Space will open in a new browser tab. Once the template is complete, click Publish to make it available to users. Review, assign, or edit the users and/or groups you want to have access to the template. Click Publish. Click Close to return to the Shared Space Templates library. Back to Top Manage Shared Space templates In the Shared Space Templates library, view a list of all templates. It includes their name, last updated date, date added, author, usage count, and published status. Click the Name, Last Updated, Added, or Usage column headers to sort the list. Click on a template to open its details panel. There, you can edit and manage the template with various options: Edit template: Click Edit template to open the template builder to continue working on an existing template and make changes. Template changes only apply to newly created Shared Spaces. Publish or Unpublish: Click the Publish or Unpublish icon to change the template's availability. Duplicate: Click the Duplicate icon to create a copy of the template. The template builder will open with the new template. ‘Copy’ will be added to the beginning of the template name. Delete: Click the trash icon to delete the template. Confirm on the pop-up. Shared Spaces already created with the template won’t be affected. Preview: Click the large thumbnail to view the Shared Space template in a new browser tab. Edit name: Click the name of the template and type your changes. Click Save changes when done. Edit description: Click the description of the template and type your changes. Click Save changes when done. Adjust user access: Click Users or Groups to edit user access. Select which users and groups have access to the template. To remove access to the template, click the X next to a user or group name. Click Save changes. View usage: Click Shared Spaces to view a list of Shared Spaces created with the template. The following details are displayed: the Shared Space name, the name of the user who created the Shared Space, and the date the Shared Space was created. You can sort the columns by Name and Created on.
