Configure Shared Spaces notifications Updated July 15, 2026 14:31 Email notifications and reminders keep everyone informed about what's happening in the Shared Spaces they are involved in. With Showpad's flexible notification settings, you can manage the volume of emails you and your participants receive. This ensures that everyone stays up to date on critical activities without being overwhelmed by email volume. As an internal participant, you can set default notification behaviors for all new or existing participants, adjust your own personal email preferences, or customize settings for specific individuals. With a Mutual Action Plan enabled, all participants can receive email notifications about their Next Step action items, which actions have been completed, and reminders about the next steps. If your admin has enabled the Slack or Gong integrations, you can manage the notifications you receive on those apps within your user settings. Set default notification rules for new participants and instantly update everyone's preferences in your Shared Space. While viewing a Shared Space, click the three dot menu in the top-right corner. Select Settings. Click Notification Settings at the bottom of the window. Under Apply changes to, choose how you want to deploy these changes: New participants only: This sets the default rules for any new participants invited to the Shared Space moving forward. Existing participants keep their current preferences. New and all existing participants: This immediately updates and overrides everyone's current preferences in the Shard Space, including future invites. Choose to configure settings for Internal Participants (your team) or External Participants (your buyers) by clicking the corresponding tab. Check or uncheck the options according to your preferences: Notification type Description Audience Participant visit summary Receive an email summarizing the actions a participant took during a visit. Internal participants only New joiner updates Receive an email notification every time a new participant joins the Shared Space. Both New content updates Receive an email notification when new files or folders are added. External participants only Comments Receive an email about new comments. Choose to receive notifications for @mentions and active threads or All comments. Both Click Save to apply the default settings. Tip: You can also configure these settings during the initial creation flow of your Shared Space. Back to Top Manage notification preferences for individual participants If a specific participant has unique communication preferences, you can customize their notifications individually without changing the defaults for the rest of the Shared Space. Within your Shared Space, click the People icon in the top header. Locate the participant in the list and click the three dot menu next to their name. Select Manage preferences. Toggle the specific email notifications on or off for this user. You can adjust their Mutual Action Plan reminders here as well. Click Save. Note: If a participant no longer wishes to receive updates because they are leaving the project, we advise clicking Revoke Access in the individual's three dot menu rather than disabling all their notifications. Open one of your Shared Space activity emails and click the here link in the footer. Alternatively, if you're already viewing the Shared Space, click the three dot menu in the top-right corner and select My Preferences. Select the activities you want notifications for. Note that another internal participant can change your notification settings. Click Save. Tip: External participants (your buyers) can also update their own notifications. They can click their profile avatar in the top-right corner of the Shared Space, then select My Preferences to set their settings.
