Create Live Training sessions and track attendance Updated October 23, 2024 22:24 Note: This article is about the new beta Admin App, which is still in development. Changes may occur. Please provide feedback directly in the beta app. Connect with users and train them in various ways, from in-person sessions to global webinars. Showpad’s Live Training feature allows you to create learning sessions and manage attendees. Admins can schedule training sessions and track who attended on the Web App or Admin App. For webinars, users are directed to services like Zoom, Skype, or Gotowebinar via a provided URL. For in-person sessions, you can include location details in the invitation. After the event, admins can load attendance in bulk to track who participated. Our step by step walkthrough guide to create and manage Paths will assist new Pathmakers. Note: The Path needs to be saved before a Live Training item can be added. Once the Path has been created, select Create Path item on the Build Path step in the Path Builder. From the Item Type drop-down menu, select Live Training. Fill in the Live Training Title field and Description that your users will see. Click Save and Create Sessions. On the Edit Upcoming Sessions tab, fill in the details of the first session: Session Name: Enter the name of the session. Date: select the Date of the session. Available Seats: Optionally add the number of seats that are available. Start Time: Enter the start time of the session. End Time: Enter the end time of the session. Time zone: Enter the time zone of the session. Webinar Link: Enter the link of the webinar session. Note: Adding a webinar link will override the location field in the Internet Calendaring and Scheduling (ICS) file, so you won't see the location in the calendar invite. Instructor Name: Optionally, add the name of the instructor. Instructor Email: Optionally, add the email address of the instructor. Location: Enter the location of the event. Enrollment open until: Choose the end date for user enrollment. After that date, users will no longer see a registration option for the Live Training. Click Save to continue adding additional sessions to this Live Training event. Otherwise, click Save and exit. To duplicate a session, click the duplicate icon next to the session’s name. Then, edit the duplicated session’s details. To create additional sessions, click the Add Session button on the bottom left. To delete a session, select the relevant one from the Upcoming Sessions menu, then click the trash icon next to its name. Confirm by clicking Delete. Click Save & exit once you’re done creating sessions. You will return to the Path Builder. From the Path Builder, you can edit a Live Training item by clicking the pencil icon next to it. It will open the Live Training Details tab, where you can edit the title and description of your Live Training or go to the Edit Upcoming Sessions tab. To remove a Live Training altogether, on the Path Builder page, click the X icon next to the Live Training item in the Path contents table. Click Remove to confirm. Back to Top Manage attendance Leading up to the Live Training, you can remind users to enroll, resend invitations, and manage attendance. After the event, you can mark those who have attended in bulk or manually. There are two ways to access Attendance Management. Choose the option that best fits your workflow. From within the Admin App: Navigate to Libraries and find the relevant Path. Click Edit Path, then click the pencil icon on the specific Live Training item. Click the Edit Upcoming Sessions tab. Click the Attendance Management button at the bottom left. From within the Web App: Hover over the My Team hub, and click Assignments. Find the relevant Path, then click the Live Training item. Click on the Attendance Management tab. From the Attendance Management tab in the My Team hub, you can manually enroll users by clicking the plus symbol and searching to add them. Note: By adding more users from here, you can override the set capacity to allow more attendees and add people after the enrollment date has passed. Tip: Make sure any users you want to enroll have first been assigned to the Path as required instead of elective. To remind participants about the upcoming Live Training, click the envelope icon, edit your message, and click Send Reminder. When the event is over, you can choose one of two ways to track attendance. Select the checkmark icon next to each individual's name that attended the Live Training. Select the X icon next to each individual’s name that did not attend the Live Training. To mark attendance in bulk, select the arrow up icon and upload your own CSV file. You can also download the Showpad sample file by clicking the link at the bottom of the upload pop-up window. Upload the CSV attendance file, then click Upload new file. To check on your attendees individually, go to the User Breakdown tab. You can filter by enrollment status, enrollment due date, and session date.
