Archive and delete Shared Spaces Updated August 07, 2024 07:52 In the Showpad platform, organizing Shared Spaces is key to keeping your content streamlined and accessible. Removing or archiving Shared Spaces that are no longer in use tidies up your interface and enhances security by restricting external access. Additionally, archiving allows you to retain valuable content and comments for future reference. For a more thorough clean-up, you can permanently delete Shared Spaces. Follow these steps to manage your Shared Spaces efficiently Note: Archiving and deleting a Shared Space is available on the Web app and the Windows Desktop App. See how it works Key features Archive a Shared Space to revoke participant access Delete a Shared Space to remove ones you are no longer using Reactivate Shared Spaces so participants can access them again Note: If the user who created the Shared Space is deactivated, other internal users who have been invited can still access it. However, customers and prospects can no longer access that Shared Space. This way, you can still access the content and activity. If you no longer need any information in a Shared Space and won't want to re-open it later, delete it. To archive a Shared Space (previously known as closing a Shared Space), click the three dots next to the one you wish to delete. Click Archive. This can also be done from within a Shared Space. You can still access archived Shared Spaces, but this will prevent external participants from accessing them. Archiving a Shared space does not delete it or any of its content or comments. All Shared Spaces are counted as active until they are archived or deleted, and not based on visits or interactions. To reactivate an archived Shared Space, click the Status dropdown and select Archived. Find the Shared Space you wish to reactivate, then click the three dots. Select Activate. Note: Speed up the process by using the search functionality when you have a lot of Shared Spaces. To delete an archived Shared Space, click the Status dropdown and select Archived. Find the Shared Space you wish to delete, then click the three dots. Select Delete. This action cannot be undone.
