Manage people in Shared Spaces Updated August 16, 2025 15:07 Once people have been invited to your Shared Space, you can manage their access and profiles to keep the collaboration organized. You can see who has access, track pending invitations, send reminders, review and approve access requests, and revoke access when needed. You can also view deactivated participants and update external participants’ profile details. As you invite others to your Shared Space, you will also see their names. If you have an avatar, it will populate. External participants will not have avatars. Below each participant's name is the date of their last activity within the Shared Space. If there are more than four participants with access in the Shared Space, the rest will be bundled to the right, and you can click the bundle or any participant to open the full list of people. You can also view the complete list of participants by clicking People in the top menu. The people in your Shared Space are organized into five access statuses: Access status Definition People with access These are all participants with access to the Shared Space. The internal participants are listed under your organization's name, followed by the external participants. Pending invites The invitation email was sent, but the participants haven’t signed in yet. Click the Send Reminder Email button next to each invitee to send them a reminder via email. Access requests The participants received the invitation by link, so the email address they used to log in with wasn’t recognized. Click the Grant Access button if you want them to join. Revoked Revoked participants can no longer access the Shared Space. If they attempt to log in, they’ll see an error message stating that the link is invalid. Their name will also be hidden from other participants. To restore access, click the three dot menu and select Grant Access. Deactivated The participants were internal users who have been deactivated from your organization. Scroll the participant status tabs to the right to see the full list of statuses. To update an external participant’s profile, click the three dot menu next to their name and select Edit Profile. Update the fields and then click Save to apply your changes. Back to Top Remind pending invitees On the Shared Spaces overview page, you will see the number of pending invitations for each Shared Space. Additionally, when invitations have been pending for seven days or more, you will be prompted to take action. Click Remind participants on a Shared Space on the overview page. A list of each participant with a pending invitation will appear. Click Remind Participant and choose: Send Reminder Email or Get Link. An email reminder will be automatically sent. Alternatively, if you choose Get Link, it will be copied to your clipboard, allowing you to share it with the participant. Within a Shared Space, if there are pending invitations, you will see a View Pending Invites button in the participants bar. If invites have been pending for seven days or more, you will be prompted to take action in the same way as on the overview page. Click the View Pending Invites button. For each pending participant, click Send Reminder Email. Click People in the top menu to access the full list of Shared Space participants. Find the participant you want to remove, click the three dot menu to the right of their name, and then select Revoke Access. Complete the action by clicking Confirm on the pop-up.
