Customize content structure with Divisions Updated January 10, 2025 11:38 Note: This article is about the new beta Admin App, which is still in development. Please provide feedback directly in the beta app. In large organizations, diverse structures demand independent content and user management across regions, languages, and business units. Showpad Divisions offer a powerful solution, allowing you to tailor content structures, user environments, and permissions globally. Each Division contains its own set of assets, tags, Experiences, etc. Files and tags can be shared across Divisions, simplifying content distribution from a source Division. Promoted members can manage each underlying Divisions. They can upload content, manage users, Courses, and Paths, send Announcements, and access analytics for their designated Division. Divisions are commonly used to solve four primary use cases: Separation of Divisions Create multiple business units with no overlap of shared content. Additional Divisions Create one parent and various partner Divisions for distributors to have their own one without having access to the primary one. In this scenario, the partner Division contains its own unique material and partial or full content from the parent one. Regional Divisions Create one global and various regional Divisions. The global Division is managed by a global marketing team, which pushes out approved content to all regions. Regional marketing content is added and managed by regionally promoted members and is available in their Division only. Sharing Partial Divisions Create Divisions for affiliate companies when a selection of materials from an affiliate needs to be made available to other affiliates and vice versa. Divisions exist for content and administrative separation & management, but users in the Web App will not be aware that Divisions exist. Users can be assigned to multiple Divisions via user groups, and their experience is seamless regardless of how many Divisions they’re assigned to. Open the drop-down list and click New Divisions. Enter the Division name, check the relevant setup options, and select the User Groups assigned. Click Create. Promote the user(s) who will manage the content and users. Do this step by step Create a new Division Access Divisions Create a new Division Open the Settings from the top menu and click Divisions. Open the drop-down list and click New Division. Enter the Division name. Set the desired permissions: Select This division can share content globally to share this Division’s content with all other Divisions. Not all content will be shared by default, but you can select the assets that need to be shared with all other Divisions. Select Share all tags to all other divisions to share all tags from this Division with all other Divisions. Shared tags can be viewed (but not edited) and used in other Divisions. Select Share all tag categories to all other divisions to share all tag categories from this Division with all other Divisions. Shared tags can be viewed (but not edited) in other Divisions. Select the User Groups to assign to the Division. Adding user groups doesn’t automatically give them access to the content, but it enables you to add them to Experiences within the Division. Access and use Divisions Navigate to the Libraries tab. Select the desired Division from the top-left dropdown menu. Access the File, Page, or Experience libraries.
