Categorize your tags in a hierarchy Updated February 10, 2025 23:49 Using tags helps to organize your Showpad content. A multi-level category hierarchy for those tags enables a seamless update process without impacting your existing content structure or user experience. Structuring your tag hierarchy enables you to organize your content into categories and subcategories, going from broad to specific. This hierarchy is for categorization only. It does not affect the tags' values. A tag retains its value regardless of its position in the hierarchy. Note: If you decide not to create categories, tags will be auto-categorized alphabetically. To get the most out of your tag categories, review our best practices. Navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. Select Categories from the Tags section of the left side menu. To create new tag categories, click the Create button and select Categories. Provide the following information: Name: The name of the new tag category. Add to parent category: Optionally select a new or existing category to serve as the parent of your new category. Search and select a category from the dropdown list. To create a new category, type it and press the Enter key. Publish: Toggle this option on to publish the tag category. This means the category is available to users filtering content by tags in their searches. Click the Create button. Tip: When creating multiple categories, check the Create another category checkbox to start adding the next tag category without closing the window. Back to Top Update category properties Navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. Select Categories from the Tags section of the left side menu. Click on the row of the category you want to update. This opens the details panel. The Category details panel includes the following sections: Name: Click the name to edit it. Click Save changes when done. Overview: Status: Click Status to edit the category’s publication status. Toggle on to make the category available to users filtering content by tags in their searches. Toggle off to unpublish the category and its tags. This will prevent the use of the category for filtering search results. Click Save changes when done. Added on: The date the category was created. Organized in: This is used to manage the category’s hierarchy. A category organized in No Category is a parent category. Click Category to edit where the tag is organized. Select a category from the dropdown list to move your category into another category creating a subcategory. Select No parent category to turn a subcategory into a parent category. Click Save changes when done. Translation: This is used to manage the tag’s AI-powered translations. Click a language to toggle the translations on or off. Click Save changes when done. Back to Top View category hierarchy The tag Categories library provides a view of all categories and shows how they are nested in a hierarchy. The Categories are listed at the top of the library and are sorted by Last update. Navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. Select Categories from the Tags section of left side menu. To view the tags and subcategories within a category, click: The arrow next to the category’s name to expand the list of tags and subcategories within it. To collapse all the expanded categories, click the Collapse all icon to the right of the search bar. The category name to view its contents, such as subcategories and tags, in a separate table. Use the navigation path at the top of the page to navigate within the category hierarchy. If there are more tags than what is visible, click Show more at the bottom of the list to load more tags. Back to Top Search and filter categories Navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. Select Categories from the Tags section of the left side menu. Search for categories using the search bar. You can filter your results by Status. Select Published and/or Unpublished categories. Click Clear filters to remove selected filters. To view and rearrange columns in the library, click the Column visibility icon to the right of the columns. Select columns to display. The Name column is mandatory. Check or uncheck the boxes to display columns. See column descriptions table for more details. To rearrange the columns, click and drag the drag icon next to a column name. Click Save when you're done. Your adjusted view is saved until you change it and will not automatically reset. Column Description Added The date the category or tag was added to the library. Assigned The total number of assets and Courses to which the tag is assigned. Not applicable to categories. Last update The date when any property of the category or tag was last updated. Status The publication status of the category. Tag count The number of tags organized in the category. Used in filter The total number of filters within components (Experiences, Pages, Saved filters, Albums, Homepages) in which the tag is used as a filter.For example, a tag might be used as filter criteria for four Smart Folders within a single Experience. If the tag isn't in any other filters, the count will be 4 (the four Smart Folders) rather than 1 (just the Experience). Not applicable to categories. Back to Top Drag-and-drop to organize categories and tags in categories Navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. Select Categories from the Tags section of the left side menu. To organize categories and tags in categories follow the instructions below: Categories: Click and hold the drag icon next to a category you want to organize into another category. Drag the category over the other category until it turns blue and expands. You can drop it here, or if there is a subcategory that you would like it to be in, hover over it until it turns blue, and then drop the category. Tags: Click and hold the drag icon next to the tag you want to organize into a different category. Drag the tag over a different category until it turns blue, and then drop the tag. Back to Top Delete Categories Navigate to the Libraries tab. If your organization uses multiple Divisions, select the desired Division from the top-left dropdown menu. Select Categories from the Tags section of the left side menu. Select the category you want to delete. Click either: on the category row to open its details panel. Click the trash icon. the category’s three dot menu, and then select Delete. Confirm by clicking Delete. Back to Top Best Practices Before creating tag categories, plan a structure. This helps ensure your content is easy to find. To help you build the best possible content library, here are some of the best practices we rely on at Showpad. Things to Consider Suggestions Structure Organize your tags into categories, from broad ones that encompass many pieces of content down to specifics to keep your library organized. Levels The maximum number of tiers per category should be three, arranged from broad categories to specific tags. For instance, a parent tag of “products” could have beneath it “instruments” and under that tags such as “scalpels” or “forceps." Ambiguous tags If you aren’t sure where to put a tag, we recommend making a ‘miscellaneous’ or similar category. That way, you can see what’s been sorted and what remains uncategorized. Hierarchy order Some organizations require a specific set of tags for each asset uploaded (e.g., at least one product tag, one collateral type tag, one industry tag, etc.). These categories should be arranged at the top of the list, with relevant tags grouped beneath them. Keep the order of the category tree on par with how it has been set up by the tag manager. Selecting this route will make loading new content and picking tags from the category list super easy.
