Please provide feedback directly in the beta app. Using tags helps to organize your Showpad content, and organizing them into a multi-level hierarchy of categories ensures a seamless update process without impacting your existing content structure or user experience. Structuring your tag hierarchy enables you to organize your content into categories and subcategories, going from broad to specific. Tags are always at the lowest level, meaning that a parent tag category cannot have both tags and subcategories. This hierarchical structure is purely for categorization and does not affect the tags' actual values. A tag retains its value regardless of its position in the hierarchy. Here are a few examples of how you can categorize your tags: Region Language Applicable for organizations that need to filter content based on region Ensures accuracy with Smart Folder logic Can be used in conjunction with Content Profiles Example tags: NA, EMEA, APAC, LATAM, USA, Canada, UK, France, etc. Beneficial for reporting analytics, Content Profiles, and folder logic Example tags: English (NA), English (UK), French, Spanish, German, etc. Internal Asset Types Tagging Internal Use Assets will allow you to quickly filter your library to check permissions for files that should not be shared outside of your organization. Example tag: Use IUO (Internal Usage Only) to check permissions Example tags: PDF, XLS, PPT, DOC,... Note: If you decide not to create categories, tags will be auto-categorized alphabetically. To get the most out of your tag categories, be sure to review our best practices. Navigate to Libraries. If your organization uses multiple Libraries/Divisions, select the desired Library/Division from the top-left dropdown menu. Select the Tag categories page in the Tags library. To create new tag categories, click the Add button and select Categories. Provide the following information: Name - The name of the new tag category. Add to parent category - Select an existing category to be the parent of the new category. Publish - Toggling this option publishes the tag category. This means that the category is available to users for filtering content based on tags (e.g., in Advanced Search). If you don't want the category to be seen by users in filtering, you can un-publish a category. To un-publish a tag category, hover over the category, then click the three dot menu and select Edit. Uncheck the box for Published, then click Update. Click the Create button. Tip: When creating multiple categories, check the Create another category checkbox to start adding the next tag category automatically. Back to Top Manage Tag Categories Update Category Properties On the Tag categories page of the Tags library, select a tag category to update by clicking on its row in the table. This opens the category’s properties.The Properties pane includes the following sections: Name - This is used to manage the category’s name. Hover over the name to reveal the pencil icon. Click on the name to edit it. Overview - This is used to manage the category’s Status (Published or Unpublished). It also includes the date the category was created. Click the pencil icon to edit the category’s publication status. Organized in - This is used to manage the tag category’s hierarchy. Categories organized in No category are parent categories. If you select a category from the dropdown list, the category then becomes a child of the selected category. Click the pencil icon to edit where the tag is organized.Parent categories do not have a parent category. Select a category from the dropdown list to move a category into another category to create a subcategory. Select no parent category to turn a subcategory into a parent category. Translation - This is used to manage the category’s translations. Click the pencil icon to modify the translation settings. translation settings. Back to Top Replace Tags In the Tag categories page of the Tags library, select a tag category to replace. If a tag category is shared, you must use its origin Library/Division to make changes to it. Click either: on the category to open its properties and then click the replace icon. the category’s three dot menu to select the Replace option. Search for a tag by entering it or select from the Tags dropdown list. When ready, click the Replace button. Back to Top Delete Categories On the Tag categories page of the Tags library, select a tag category to delete. Click on the category to open its properties. Click the trash can. Click Delete. Back to Top Best Practices There’s an art to organizing and planning a structure before creating tag categories that will go a long way toward making your content as easy to find as possible. Here are some of the best practices we use at Showpad to assist in your quest to attain the best library of content: Things to Consider Suggestions Structure Organize your tags into categories, from broad ones that encompass many pieces of content down to specifics to keep your library organized. Levels Three tiers per category should be the maximum, arranged from broad categories to specific tags. For instance, a parent tag of “Content Type” could have beneath it “Document,” and under that, tags such as “pdf” or “doc." Ambiguous tags If you aren’t sure where to put a tag, we recommend making a ‘miscellaneous’ or similar category. That way, you can see what’s been sorted and what remains in your Uncategorized tags section beneath those given homes. Hierarchy order Some organizations require a specific set of tags for each asset uploaded (e.g., at least one product tag, one collateral type tag, one industry tag, etc.). These categories should be arranged at the top of the list, with relevant tags grouped beneath them. The order of the category tree will always be on par with how it has been set up by the tag manager.
