Schedule, download, and manage reports in the Report Builder Updated July 15, 2026 07:01 The Report Builder provides powerful insights into your team’s performance and content engagement, enabling you to align your sales and marketing strategies with tangible data. After creating a custom report, you can manage it, download the data, and set up automatic exports to share with stakeholders both within and outside your organization. The reports you build are personalized to your account, but you can download them and schedule exports to share with other stakeholders. Schedule exported report updates. Do this step by step Access the Report Builder by navigating to the Analytics tab in the Admin App and selecting My Reports from the left-side menu. After you've created your first report, the page defaults to the My Reports tab. Review the list of reports The Reports page is organized into tabs to help you manage your analytics: Templates: Use pre-built templates from Showpad to get started quickly. My Reports: The default view displaying all your saved custom reports. On the My Reports tab, sort and view all your saved reports to see their status and last update time. The report list provides an overview of all your saved reports and includes the following columns: Column Name Description Report name The name of the report Scheduled The cadence of the scheduled report export Creation date When the report was initially created Last updated When the report's filters, metrics, or name were last changed Last generated The most recent date the report was run Status The current status of the report: Generating report: The report is currently being processed. Ready for download: The report is complete and available. No download available: The report is no longer available for direct download and needs to be re-generated. Export failed: Dataset is too large. Reduce the dataset by using more filters. Click a column header to sort by Report name, Creation date, Last updated, or Last generated. Click any row to open the report. In view mode, you can adjust the filters to look at the data from different angles. Keep in mind that these changes won't be saved, and any exports you download and schedule will still use the original filters. To make permanent changes, click Edit. Click X to return to your list of reports. Back to Top Manage existing reports Take action on your saved reports. From the reports list, click the three dot menu next to any report to access the following actions: Download XLSX: Export the report in Excel format. Download CSV: Export the report in a universally supported format. Note: Reports are available for download for 30 days. After this period, you must regenerate the report to download it again. Edit: Open the Report Builder to modify the report's data fields and filters. Rename: Update the name of the report and click Save. Duplicate: Create a copy of the report with "Copy of" prepended to the name. This is useful for creating a new report from an existing template. Schedule: Email recurring report updates to selected recipients. Becomes Edit schedule after the schedule has been set. Learn more about scheduling exported reports. Re-generate: Manually run the report to get the most recent data. Note: Reporting data is updated every morning (UTC), so figures may be up to 24 hours old. Re-generate your report to reflect the latest refresh. Delete: Permanently remove the report. Confirm on the pop-up. Back to Top Schedule updated report exports Schedule a recurring email to share the latest version of this report with internal and external recipients. As the report owner, your name will appear as the sender. In the reports list, click the three dot menu next to the report you want to schedule, then select Schedule. Under Frequency, select the interval at which you would like the report to be sent. You can choose Daily, Weekly, Monthly, or an Exact date. Reference the following table for details on each option: Frequency Settings Daily Time zone Time AM/PM Weekly Day of the week Time zone Time AM/PM Monthly Relative monthly date: First day of the month Last day of the month A day Time zone Time AM/PM Exact date Calendar-specific date Time zone Time AM/PM Enter the email addresses of the Recipients. They can be internal or external recipients. Your email address is already listed. Select the report Export type, either XLSX or CSV. Click Schedule. Note: The report link in recipient emails expires 30 days after it is sent.
