On the User Profile level, you’ll see a somewhat new data field - Direct Manager. This field can also be found as a filter in the Engagement Reports section. But what you may not know is that you can use this functionality to replicate your team org structure, and then pull reports based on it efficiently and promptly!
Some common reasons you may want to do this:
- You want more detailed reporting on User activity, sorted by Direct Manager
- You want to be able to compare the activity of different teams
- You want to be able to compare your Showpad data with your CRM, HRM, IdP, or other internal system
This article will walk you through best practices on how to set the data up correctly, and how to use the reporting filters to make that happen.
Getting things ready…
Before you can report on anything, you first have to get all the data into Showpad. The most important thing is to ensure that Direct Managers are filled in across all your Showpad Users in your account.
You have three options:
- Edit each User profile manually
- Edit User profiles in bulk
- If you use SCIM 2.0 for automatic user provisioning, you can pull in this Direct Manager data as part of that
Things to be aware of:
- Direct Manager is not the same thing as Manager in Showpad. You can read more about the difference here. Put simply, a Direct Manager can be more flexibly assigned for reporting purposes, while a Manager is more firmly in place above their teams. Be careful not to conflate the two. (This is currently only a differentiator just for those with a Showpad Coach package.)
- If someone in your hierarchy does not have a Showpad license, that will cause a gap in the hierarchical reporting - we can’t report on someone if they don’t exist in Showpad.
Once you have completed filling in Direct Managers across your User base, you can then move on to a treasure chest of reporting!
Pulling Reports that reflect your team hierarchy
You are going to spend your time in this section of Reporting:
Engagement Reports → User Engagement → View By: Direct Manager
Direct reports vs. Indirect reports
One thing to understand before you dive in is the “Direct reports only” checkbox.
As you move up the org chart of your team, leaders have more and more people that fall under them.
When this box is checked, a leader will see the data about people that they are the direct people manager of. If this box is unchecked, then the data expands to EVERYONE that lives under that leader in their hierarchy- and not just the people that report directly to them. See how it changes here:
Digging into the data for one leader
You have three options for filtering on a specific leader:
Option 1- Use the filter box at the top to pick a leader (this will collate all the data about their whole team) →
Option 2- Click on the leader in the top level list →
Option 3- Use the “Reporting to” filter to also break down the data for the levels right below them→
(Note- you cannot use this “Reporting to” filter for front line managers that only manage individual contributors. Only leaders that manage other leaders.)
Seeing the data of individual reps at the bottom of the hierarchy
Now that you know how to look at the leaders, here’s how to take a look at a view of the individual contributors who compose the majority of the hierarchy.
You are always going to need to filter by the front line manager that the reps report to.
Click on the front line manager in the top level list, which will open up a new view that breaks down data for the people that report them →
Wrapping things up
As always, each of these views are exportable to Excel if you would like to adjust things further! Simply click the Download box in the top right corner.
And if you would like to give your leaders the access to view these reports as well, you can grant them Reporting permissions as a Promoted Member.
