Episode Five: There's something about users Updated October 05, 2022 10:13 Previously on Showpad's Onboarding Guide... We talked about branding your Showpad organization for your users by creating sharing themes for sharing the content and changing the colors in the mobile apps. You discovered how backgrounds, folder icons, login logos, and cover images for channels can distinguish your company when presenting content. This time on... Let's talk about a strategy for your users. How many of your colleagues will use the Showpad app? Do you need multiple user groups? Do you need to organize users in a specific way to roll out training initiatives? This episode explains how to create and manage your users. Following this guide will take about 30 minutes. Give yourself a little extra time if you have to type in a long list of names. One role to rule them all Keep your feet on the ground, cowboy. As an owner or an administrator, you manage the content, courses, and users. Don't let that power get into your head. Yes, we have more roles in Showpad and they're all equally important. We suggest you take a look at them first. Read more about the available roles in Showpad. Create your users Sign in to the Online Platform and head out to the user tab. If you have other people in your organization that need the ability to manage content and users, this is the time to select who and make them an administrator as well. Don't worry, you can always change the user role later. For larger batches of users, use a CSV to import them quickly. See the article that explains how to create a user. Promoting members is a way to grant permissions on a more flexible basis to different people in your organization. When you promote a member, you can grant them specific responsibilities and access levels. Perhaps you have a person who works in sales training but does not need access to Showpad Content areas. Promoting the member and granting permissions relevant to Showpad Coach is the way to do this. Read more about how to promote a user in this article Build your super hero squad The users you just created can be assigned to a group. By using groups, you’re able to assign a group permission to Experiences or assign them courses and Paths. Groups are a great way to manage your users and allows for scalability because you can easily add someone to a group. Doing this will give them access to the same content that everyone else in the group has or ensure they are taking the same courses as their teammates. Read how you can create a user group in this article. Discover how you can add your created users to a user group. Anyone in that group will be able to have access to the assets in that Experience. If we use the comparison with television channels, certain groups of users can watch the history channels and others can only see nature documentaries. Or both. Learn how you can assign users and user groups to particular Experiences. Tailor content to specific users Use Content Profiles to help push the best content to certain users. This dynamic filtering prioritizes content using location, language and/or tags. Setting these up in advance will automatically ensure the right users automatically get relevant content based on their region, projects or area of expertise, and preferred language(s). Learn more about how to create Content Profiles here Create a classroom Enabling your users to have the right knowledge and training in their sales process is pivotal to successful deals. Being able to group your users or enroll them in courses individually allows the flexibility to implement the training initiatives that make the most sense for your organization. For example, you can create certain groups when onboarding new hires and ensure they are accessing all the necessary training and coaching resources before they head out in the field. If you use an SFTP server to manage people in your organization, you are able to configure a daily sync to add or delete users from Showpad. Those utilizing third-party identity management systems can update Showpad users and groups automatically using SCIM.
