Use LibraryIQ assistance to manage content Updated April 04, 2024 16:33 As a marketer, you provide your sellers with the most up-to-date, high-quality content. When your library grows, it can be challenging to ensure users only have access to the most relevant assets. To save time and costly resources, consider the suggested improvements provided by LibraryIQ in your Content Library. LibraryIQ uses AI to surface assets that may require action. You’re presented with relevant content groupings to help you uncover new library needs and enable you to take prompt action to manage your Content Library effortlessly. Select a suggestion from one of the three categories Exact duplicates Localized variants Languages Consider the assets in the suggestion and take action Do this step by step. To consider content management suggestions from LibraryIQ, in the Online Platform, click Library in the top menu. If your organization uses Divisions, select the relevant Division. On the left panel of the Assets & Experiences tab, click LibraryIQ. Select a suggestion from one of these three categories: Exact Duplicates: LibraryIQ finds duplicate assets and gives you the tools to confidently decide what to keep, update, or remove. Localized variants: Variants of the same asset are identified, making it effortless to link localized content. Languages: Assign a language property to assets without a defined language to improve organization and accessibility Back to Top Duplicate Detection Duplicate assets can lead to confusion and misinformation for users and admins alike. To ensure only the most relevant content is accessible to your sellers, you must be aware of duplicate assets. LibraryIQ compares asset contents to identify duplicates. The assets are then grouped for you to consider. In the exact duplicates category, cards represent suggestions of duplicate assets. To view all the cards, click View all. View the cards of grouped asset suggestions. In the top left of each card is an icon indicating the type of asset and the number of items in the group. You can sort the cards by most recent or number of items. Click a card to view the list of assets for review. To determine where an asset is used, select it to open the asset details pane. On the Info tab, view how many locations the asset is used in. Click each location for details. Click here to learn more about asset distribution insights. To consider user engagement with an asset, navigate to the Reports tab, select Content Reports, and set a date range. Then, search for the asset in the Top Content table. Click here to learn more about asset usage analytics. If assets in the list are no longer needed in the library, select specific assets or check the box at the top to select them all. Click Move to trash. Confirm on the pop-up. The assets are moved to the trash. To remove a specific asset from the library, select the asset to open the asset details pane. Click the three dot menu and choose Move to trash. Confirm on the pop-up. If you want to continue reviewing LibraryIQ suggestions, click the left arrow at the top to return. Back to Top Localized Variants Linking all the local variants in your library will ensure your global market has only up-to-date localized content. Once every 24 hours, LibraryIQ locates similar assets with different languages and groups them for you to review. In the Localized variants category, cards represent suggestions of local asset variants. To view all the cards, click View all. View the cards of grouped asset suggestions. In the top left of each card is an icon indicating the type of asset and the number of items in the group. You can sort the cards by most recent or number of items. Click a card to review the list of suggested assets. To preview an asset, select one and click the thumbnail in the asset details pane. Click X in the upper right corner or esc on your keyboard to exit the preview. If the assets can be linked as localized variants to a primary asset, select specific assets in the list or check the box at the top to select them all. Click Link variants. Select a primary asset from the drop-down list. Verify or set the Locale and, optionally, the Author property on the primary asset and click Proceed. Verify or set the Locale and, optionally, the Author properties on each localized variant and click Confirm assets. The localized variants are now linked to a primary asset. Back to Top Assets with the same language When you set the language property of an asset, you can distribute it with smart filters to Experiences, Pages, and Homepages. LibraryIQ scans your content using machine learning, identifying the language and surfacing assets that don’t have the language property set. In the Languages category, cards represent suggestions of assets with the same language. To view all the cards, click View all. View the cards of grouped asset suggestions. The top left of each card shows the quantity in the group, while the bottom displays the language. You can sort the cards by most recent or number of items. Click a card to view the list of assets for review. To preview an asset, select one and click the thumbnail in the asset details pane. Click X in the upper right corner or esc on your keyboard to exit the preview. Select specific assets in the list or check the box at the top to select them all. Click Assign language, then confirm on the pop-up. Note: Asset suggestions are limited to 500 assets. Your library will be reevaluated after you take action on a card with 500 assets, and a new card with the same language may be presented. To assign a different language to an individual asset, select it to open the asset details pane. Choose a language in the Locale section and click Save.
