Enable Showpad features Updated January 14, 2025 22:05 As an administrator, you can enable or disable certain features and integrations in the Showpad app. The options you see here depend on the plan you are on. This article explains the Features page in your admin settings, where you have the option to enable or disable features for your various user groups: Personal Uploads External Uploads in Shared Spaces Showpad Video Asset Commenting Custom App Accent Color Custom Login Logo Custom Exam Certificate Background Search tag filtering Google Drive rendering Salesforce Activity Logging See how it works Back to Top See how it's done Personal Uploads When the Personal Uploads feature is enabled, users can upload their own files to My Files, Collections, Shared Spaces, and record Showpad Videos. The total available storage for which users can upload personal content is determined by package: 10Gb for Essential customers Unlimited for Plus customers Unlimited for Ultimate customers To enable Personal Uploads for all users, toggle on the Personal Uploads feature. By default, this is enabled for all users. Expand the Personal Uploads section to view the User Access options. Check the user groups to which you want to enable Personal Uploads. If you have many groups, you can quickly use the search functionality to find what you're looking for. Once you've selected the groups you want the feature enabled for, click Apply. You will receive a warning message to ensure you're aware that any group you disable Personal Uploads for will lose any content they've already uploaded, including video recordings. URL assets and personalized versions of marketing assets are still available.Their uploaded content will be deleted from Collections and Shares, and they will no longer have access to the Microsoft Office integration. Any content they shared with prospects will no longer be accessible. Check the boxes signifying you understand the impact, then click Disable. Note: Disabling Personal Uploads after it was enabled significantly impacts your users' personal content. Click the Advanced Options tab to view two options. Enable Limit external downloads to PDF format to ensure external recipients can only download user's personal files that can be converted to PDF, as PDFs. To allow users to upload files to the My Files or Shared Spaces from their Google Drive, enable Allow file import from Google Drive. To allow users to edit Microsoft Office documents and/or Google Slides and store them in My Files, you must enable the Microsoft Office/Google Slides personalization feature(s). Learn more in this article. Toggling on these features only enables the feature itself. You will still need to mark individual assets as Can be personalized for users to have permission to edit the assets and store those versions in their My Files.If the personal uploads feature is not enabled, you will not see the Can be personalized permission option for assets. Tip: To simplify your process, we suggest creating a new user group and adding all users you'd like to enable Personal Uploads for. If a user is in multiple groups, of which some but not all have Personal Uploads enabled, they will have access to upload. Back to Top External Uploads in Shared Spaces This toggle allows users to enable external uploads in Shared Spaces. Their buyers can upload files directly to those Shared Spaces. You can select which user groups can allow uploads or enable it for all users. Note: The Personal Uploads feature must be enabled for the user group using the External Uploads feature. To enable External Uploads for all users, toggle the feature on. By default, this is enabled for all users. Click the caret drop-down in the section to open the user access options. Check the user groups to which you want to enable External Uploads. If you have many groups, you can quickly use the search functionality to find what you're looking for. Once you've selected the groups you want the feature enabled for, click Apply. You will receive a warning message to ensure you're aware that any group you disable External Uploads for will no longer have it available in their Shared Spaces. Click Disable to confirm. Back to Top Showpad Video When the Showpad Video feature is enabled, users can record and upload their own personal videos to My Files, Collections, and Shared Spaces. Using this feature toggle, you can enable or disable Showpad Video for your entire organization or select certain groups you'd like to grant access. Note: In order for Showpad Video to be available to users, they also need to have Personal Uploads enabled. To enable Showpad Video for all users, toggle the feature on. By default, it is enabled for all users. Click the caret drop-down in the Showpad Video section to open the user access options. To enable this feature for only certain user groups, click Select Groups. Check the user groups that you want to have Showpad Video enabled. If you have many groups, you can quickly use the search functionality to find what you're looking for. Once you've selected the groups you want the feature enabled for, click Apply. Access to Showpad Video to all unchecked groups will be disabled. Back to Top Asset Commenting Similarly to My Files, you can enable and disable Asset commenting for the entire organization or certain groups. Allowing asset commenting means users can post comments on files, and as an admin, you have to option to respond to comments or remove them if necessary. To enable Asset Commenting for all users, toggle the feature on. By default, it is enabled for all users. Click the caret drop-down in the Asset Commenting section to open the user access options. Check the user groups that you want to have comments enabled. If you have many groups, you can quickly use the search functionality to find what you're looking for. Once you've selected the groups you want the feature enabled for, click Apply. Access to asset commenting to all unchecked groups will be disabled. Back to Top Custom Exam Certificate Background Reward your users with a branded certificate for their completed efforts in Showpad Coach. This is available for Showpad Coach Plus or Ultimate packages. To enable Custom Exam Certificate Background for all users, toggle the feature on. Click Custom Exam Certificate Background to expand this settings panel. If you have a file ready, click Choose File to upload it. Otherwise, you can download the template in this panel. When ready, click Apply. Your updated course image will appear on all course certificates across Showpad Coach. Repeat and refresh as needed. The latest backgrounds will update automatically in past certificates. Back to Top Search tag filtering By default, the option to show unused tags in search results is disabled. To enable it, toggle the option on. When disabled, unused tags will not appear in Web app search results. Back to Top Optimize Google Drive rendering When enabled, MS Office files will be downloaded from Google Drive as the original asset, and a PDF will be downloaded as a converted file to render in Showpad. This is a good option if you've noticed rendering issues in Showpad with Google Drive files. Use the options to select if Google Drive PDFs will be used for rendering Docs, Sheets, and Slides by checking the applicable boxes and clicking Apply. By default, the option to show optimized Google Drive PDF rendering is not applied. If disabled, MS Office files will be downloaded as the original asset, and Showpad will convert the original file to a PDF to render. Back to Top Salesforce Activity Logging If you have installed Showpad's Salesforce integration, you can control which user groups have access. When enabled, selected users can log activities in Salesforce, and access sharing insights and content recommendations with the Showpad Insights app in Salesforce. To enable Salesforce Activity Login for all users, toggle the feature on. By default, it is enabled for all users. Click the caret drop-down in the section to open the user access options. To enable this feature for only certain user groups, click Select Groups. Check the user groups that you want to have Salesforce Activity Login enabled. If you have many groups, you can quickly use the search functionality to find what you're looking for. Once you've selected the groups you want the feature enabled for, click Apply. The ability to log activities in Salesforce will be disabled for all unchecked groups.
